Wages: £15- £25 per hour, depending on relevant experience
Primary working relationships: Oriel accountant, Oriel staff, Trustees, partner Churches
Summary of main purpose of the job: The Finance and Administrative Officer will be responsible for administering the financial tasks of the organisation. The role includes administering payroll, managing petty cash, processing invoices and travel claims, and ensuring compliance with financial regulations. The post holder must be experienced in the day-to-day use of Xero, the accounting package used by the ministry. The role also involves coordinating with the accountant, filing necessary paperwork, and preparing financial reports for the Finance Committee. It is envisaged that there will be a small amount of administrative support required from time to time.

• Inform Accountant of any ‘zero hours contract’ hours worked by 25th day of the month and any other irregular or exceptional payments, including payments in lieu of TOIL – these time sheets to be authorized by relevant personnel
• Pay salaries, 28th day of the month, print out and file staffing overview costs
• When directed by Finance Committee, implement salary changes as a result of changes to the National Living Wage, promotion and any other pay increases and reviews
• Pay HMRC, 28th day of the month
• Chase Accountant for salary slips if these are not forthcoming
• Pay any invoices, travel claims etc monthly
• Collate, check and complete paperwork for paying in monies at the Post Office
• Pay in monies, including cheques at Post Office
• Manage petty cash, withdraw additional float as and when necessary
• Refund receipts from staff of larger amounts via on-line banking
• Ensure receipts are available to account for monies in and out of the account to ensure full accountability
• Enter invoices and income onto the financial package, Xero, using cost centres as agreed and complete bank reconciliation. This includes maintaining and updating an Asset register.
• Liaise with Finance Committee to prepare monthly profit and loss overview and answer any questions that arise
• Work with Finance Committee to ensure Gift Aid is completed on a regular basis
• Provide admin support when advertising new posts, arranging interviews, gathering references, joboffers, new or amended working agreements, reviews, and associated filing
• Process any data in line with GDPR – set up new supporters, donors etc on Database and Mailchimp

• Attend and contribute to Team-building days and training events
• Enter fully into Oriel Ministries’ team life and other events
• Undertake promotional activities on behalf of Oriel Ministries

Proven experience in finance and administration, preferably in a non-profit or similar organisation, is required for this role.
Candidates should have a good understanding of payroll processes and knowledge of HMRC regulations.
In addition, the ideal candidate should be capable of working independently, handling multiple tasks, and prioritising workload effectively. It is important to maintain confidentiality and integrity when dealing with financial matters and to be proactive and organised in ensuring the timely completion of financial tasks and reporting.
